Job Purpose

The Receptionist serves as the first point of contact for visitors and callers, ensuring a professional and welcoming experience. The role involves managing front-desk operations, switchboard management, and providing administrative support to ensure smooth office functioning.

 

Minimum Requirements

  • Grade 12 (Matric) essential.

  • A post-matric qualification in Office Administration, Business Management, or a related field will be an added advantage.

  • At least 3 years’ experience in a reception or switchboard environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Excellent communication, interpersonal, and organizational skills.

 

Technical Competencies

  • Familiarity with switchboard operations and telephone systems.

  • Strong administrative and office coordination abilities.

  • Experience with mail handling, visitor management, and document logging.

  • Ability to remain professional, calm, and efficient under pressure.

  • Excellent time management and attention to detail.

 

Description :

Key Responsibilities

  • Greet and welcome visitors professionally, ensuring they are assisted or directed appropriately.

  • Notify relevant staff of visitor arrivals and liaise with security to ensure proper access control.

  • Maintain a tidy and professional reception area at all times.

  • Handle incoming calls efficiently, direct them appropriately, and take accurate messages when required.

  • Manage and maintain an up-to-date telephone directory.

  • Assist in booking meeting rooms and coordinating schedules.

  • Handle mail and courier services, ensuring proper logging and delivery.

  • Support the Facilities and HR teams with administrative tasks when needed.

  • Assist with stationery stock management, meeting arrangements, and minutes for staff meetings.

  • Participate in emergency evacuation procedures as part of the OHS team.
